Master Roster Edit Screen¶
The roster comprises a number of Cells arranged in a grid. The display is fourteen cells wide, which allows two full weeks to be displayed at any one time.
Care System recommends that new users build familiarity with the roster screen by completing the exercises set in the Roster Screen Training Guide. The information contained in this Online Reference is comprehensive and some users may find this sufficient.
- Most actions are initiated by the mouse.
- The function of the mouse may be changed depending on its mode. The Mouse Mode is set using the Icons at the top of the screen. It is important that you become familiar with the various Mouse Modes in order to make the very best use of the program.
Information At The Top Of the Screen
Roster Type - This will be either Working, Master or Draft
The current Mouse Mode. This may be:
Drag And Drop Overwrite
Drag And Drop Swap
Drag And Drop Grab
Single Click Assign
The period covered by the Roster.
Note that where more than two weeks is required to describe the Master Roster this serves as an origin point for the roster display.
The details of a particular Shift may be set up, displayed and edited with a Double Left Click on the Cell. See Setting up the Shift.

Note
Most Icons are common to both the Master Roster and the Working Roster. There are five Icons that are specific to the Master Roster and this is noted accordingly.
Normal Cycle¶
Where this function was used with Version 7 of the program you may access it now be pressing Control-S.
To date it appears that this function has not been used and should this prove to be the case it will be removed from the program.

If you have not used this function in the past, do not use it now, it is no longer supported.
A Normal Cycle is a cycle that may be described with one fortnight. The help for Normal Cycles is broken up into two sections – Description of the Window and Using the Window.
It is normally a good idea to set up the Shifts that will comprise a Normal Cycle before the Cycle itself is created. This will make it much easier to assign particular Shifts to the correct position in the Cycle.
Description of the Window This has three areas:
Top Area
The Top Area displays some information about the currently selected Cycle.

| Employees: | This allows you to set the Maximum number of employees that will be allowed on any one Stage of the Cycle. |
| Stages: | This allows you to set the number of stages there will be in the Cycle. |
Middle Area
The Middle Area displays a list of the currently existing Cycles. Each Cycle may be expanded to show the stages in the Cycle with a Double Left Click. Each Stage may then be expanded to display the Employees on that Stage with a Double Left Click.
Bottom Area
The Bottom Area has three columns of buttons, one each for Cycles, Stages and Employees. To the right of these are areas that display and allow you to edit the colour for a particular Stage and a Tick Box to flag that the employee is in charge.
Cycle Buttons There are two buttons here:

| ADD: | Click this button to add and employee to the selected Stage (you may have multiple employees on a Stage). |

Using The Window
Essentially there are two main functions: Create a New Normal Cycle and Editing a Normal Cycle.
Create A New Normal Cycle
Note it is good idea when creating Normal Cycles to use the Fixed Roster mode to create all of the Shifts [cells] that will be included in the before the is created.
To set up a new Normal Cycle Press Control-S and the Normal Cycle edit Window will be displayed.
- Click the ADD Cycle Button
- Enter a Code [overwrite the default Code that will display]
- Enter a Description
- Employees - Set here the minimum number of employee positions that will be generated in the Actual Roster when it is generated. Note that it is not necessary to add employees to the Cycle for each position. The idea is to ensure that the correct number of Shifts is generated in the Actual Roster,
- Stage – Set here the number of stages in the Cycle
Now ensure that the new Cycle is selected [click the cursor bar if necessary] and:
- Click the ADD Stage Button – a new Stage will be added and its default colour will be displayed. The default colour will change shade automatically for each Stage but you may edit this colour by clicking the Button to the right of the colour display and selecting from the palette displayed. Repeat this for each Stage that is required.
- Click ADD Employees to add employees to the selected Stage. Scroll the employee list displayed and click each required employee and then click the ADD Button.
- To attach Shifts to a Stage – Select the Stage with the mouse and then click the EDIT Stage Button. You will be returned to the Roster Edit screen. Double Left Click toggles Shifts on and off the Stage.
- To add a Shift to the Stage Double Left Click the Shift.
- To remove a Shift from the Stage Double Left Click it.
- You can return to the Window by clicking the Cycle button on the Mini Window.
Editing A Normal Cycle
To edit an existing Normal Cycle press CTRL+S and the Normal Cycle edit Window will be displayed.
Select the Cycle to be edited by Clicking it in the Middle Area. Then select the Stage, which is to be edited.
- To change the Shifts on the Stage click the EDIT button You will be returned to the Roster Edit screen. Double Left Click toggles Shifts on and off the Stage.
- To add a Shift to the Stage Double Left Click the Shift.
- To remove a Shift from the Stage Double Left Click it.
- You can return to the Window by clicking the Cycle button on the Mini Window.
- To add an employee, click ADD [Employees] and select the required employee from the list displayed and click the ADD button.
- To remove an employee select the employee and click the DEL [Employee] Button
