The Icons include:

exit Close this window:
 

Allows the operator to exit from the Roster Screen. You will be asked if any changes are to be saved.

reload Reload From Database:
 

Reloads the roster as it was last saved. Any changes made since the last Save will be lost.

save Save the changes to the Database:
 

Saves the roster as it is now.

display Edit Roster Shifts:
 

Display the details of the Current Cell. Essentially this turns off the current Mouse Mode. In this Mouse Mode a Double Left Click on a Cell with the mouse will display the details of the Shift.

drag Allow Drag & Drop Copying:
 

In this Mouse Mode the mouse will pick up and drop certain details of a Cell. You can select what is to be copied. Just tick the required items.

There are three Drag & Drop Mouse Mode options:

  • Overwrite: A Single Right Click with the mouse will pick up from the current Cell and the subsequent Single Right Click will drop on the new Cell. The original entry is retained. You may clear the “copy information” with a Single Left Click.

    In the overwrite mode you may drag and drop multiple cells:

    1. Select the cells which are to be copied.
    2. Then, either:
    • Left Click on the topmost and left most cell.
    • Hold the Shift Key down and Left Click on the lowest and right most cell. The block of cells to be copied will be highlighted.

    OR

    • Place the Mouse Pointer on the topmost and left most cell, press and hold the Left Mouse Button and move the Mouse Pointer to the lowest and right most cell.
    • The selected cells will be highlighted.
    1. Right Click on the topmost and left most cell to pick up the block of cells.
    2. Right Click on the cell that will be the topmost and left most cell. The block of cells will be copied from that cell.
  • Swap: A Single Right Click with the mouse will pick up and remove from the current Cell and the subsequent Single Right Click will drop on the new Cell. The content of the new Cell is copied automatically to the original Cell. You may initiate another swap with a Single Right Click. You may exit from an unwanted process with a Single Left Click.

  • Grab: A Single Right Click with the mouse will pick up and remove from the current Cell and the subsequent Single Right Click will drop on the new Cell. The content of the new Cell is picked up with the same action. The original Cell is cleared. You may initiate a series of moves finishing up, if you wish, by dropping the last person to be moved on to the now empty original Cell. You may clear the “copy information” with a Single Left Click.

    You may exit from this Mouse Mode by Clicking Display the Details of the Current Cell or selecting another Mouse Mode.

assign Select an Employee and Assign with a Single Click:
 

This Mouse Mode provides a convenient method to assign an employee to several Cells. A Left Click on this Icon presents a list of employees, select one and click the SET Button. You may now assign that person with a Single Left Click to any required Cell. Any previous person on that Cell will be removed.

Note

This Mouse Mode operates only for those parts of the Roster that are either a Simple Roster or a Complex Cycle Roster.

You may exit from this Mouse Mode by Clicking Display the Details of the Current Cell or selecting another Mouse Mode.

replace Replace An Employee with Another:
 

This is a global replace function. It is useful where, for example, one employee has left your employment and their position on the roster has been taken by another employee.

font Set the Font Used For The Roster:
 

The font used for the text in the roster display may be set here. We do suggest you stick to 8 point otherwise the Roster probably will not fit on the screen.

hilite Highlight a Selection Of Cells:
 

This allows you to highlight Cells with a particular characteristic.

  • Select the field to be used for the Selection. Eg. Employee or Classification. Note that at this stage only one field may be used to select the highlighted Cells.
  • Select the range for the Selection Field. This could, for example, be a single employee, Location or Classification or a range of Classifications or Locations.
  • Select a Colour.
  • Click the Select Button to highlight the selected Cells.

You can set up several Highlight Selections with different colours. Use the Clear All Button to remove them.

choose Choose what information to Display:
 

This allows you to control what information will be displayed on the roster screen.

  • Individual cells: The main part of the screen determines what will be displayed in the individual Cells of the roster. Essentially the more information you display for individual Cells the less the number of Cell rows that will be displayed at any point in time. Tick the boxes for the items you wish to display.

    You may wish to change this setting depending on the Display Mode you are using. For example, in Shift Display Mode it makes sense to include the Employee Code in the Cell but where Employee Display mode is selected the Employee Code is probably not required as it is already displayed at the left hand side.

  • Side Headings: Optionally you may select one field from Location, Classification or Person to display at the side of the roster. Tick the box you wish to display. The Cells of the roster will be compressed slightly where this option is exercised.

rostercheck Roster Check:
 

The Roster Check Icon will look at previously created rules and display exceptions in a Roster Check screen. The Roster Check may be helpful in identifying exceptions in a Working Roster such as ‘Maximum hours per period worked’, ‘Maximum Shift Length’, ‘Meal Break maximum Length’ etc.

Icons unique to the Master Roster

These icons may be used where the roster varies from fortnight to fortnight (cycles). Where this is the case you may set the width of each row in weeks and then set up the required work pattern for each week. This is a flexible but rather laborious feature!

first First Week:
 

Move Display to the First Week of the Current Row. Master Roster Only.

Where a row on the Master Roster is more than two weeks wide this icon will move the display so that the first week of the period selected is displayed on the left hand half of the roster display.

prev Previous Week:
 

Move Display To The Previous Week of the Current Row. Master Roster Only.

Where a row on the Master Roster is more than two weeks wide this icon will move the display one week to the left.

Note

It is not possible to display weeks that are earlier than the first row of the selected period.

weeks Set the Width:
 

Set the Width of the Current Row in Weeks. Master Roster Only.

This icon allows you to set the width of a Row in weeks. This provides a useful means to set up rosters that are different from one fortnight to the next. Set the width to the number of weeks that must elapse before the cycle arrives at the position entered as the first week.

next Next Week:

Move Display To The Next Week of the Current Row. Master Roster Only.

Where a row on the Master Roster is more than two weeks wide this icon will move the display one week to the right.

Note

where the display is moved beyond the width specified for the cells will be greyed out and may not be edited.

last Last Week:

Move Display To The Last Week of the Current Row. Master Roster Only.

Where a row on the Master Roster is more than two weeks wide this icon will move the display so that the last week of the period selected is displayed on the right hand half of the roster display.
