Setup ‣ Database Setup ‣ General

Some basic parameters that are applied globally to the operation of the program are set here.

Days In Roster:

This is normally set to 14 which means that roster will be defined and displayed on a fortnightly basis.

Allowed Cycle Width:

This allows you to set the width of a roster pattern. Note that it is recommended that this is set to the same value as the Days In Roster field. The function of the program has not been tested where these are different.

Time Display:

This may be set to 24hr or AM/PM. 24hr is the recommended setting.

Day Types:

A Day Type should be set for each day of the week. Typically the same Day Type would be set for Monday through Friday with different Day Types for Saturday and Sunday. These Day Types will be used for the costing process unless they are overridden by a Day Type specific for that day. This could occur for the following reasons:

  • A nominated Public Holiday
  • Day Type specific to the employee - the employee is on leave or on a training course.

Costing

The roster costing process is critical to gaining the maximum benefit from the program. Where is used properly it will save virtually all of the effort involved in calculating the payments due to your employees. The general principles of the costing process are set out at Principles Of Costing.

The following parameters should be set here

Costing Rule:The default Costing Rule for the database should be set here. See Principles of Costing.
Default Status:This parameter is used where the Roster is costed and no employee has been set for a cell.
Default Gender:This parameter is used where the Roster is costed and no employee has been set for a cell.

Time Import

File Format:

Select a File Format that has been set up at Setup, Import Formats

Adjustable By:

Currently this field has no function.

Tolerance & Resolution Columns:

The Tolerance column allows you to set the difference between the Rostered and Actual times that must occur for the event to be recorded on the Employee Attendance Exception Report. Where a value is set in the corresponding Resolution Column an adjustment will be recorded in the employee’s attendance record.

For example, the Tolerance for Shift Start (Late) is 5 minutes and the Resolution is 15 Minutes.

  • The employee clocks in 4 minutes late - this does not warrant an entry in the Employee Attendance Exception Report and nothing is recorded in the employee attendance Record.
  • The employee clocks in 7 minutes late - this does warrant an entry in the Employee Attendance Exception Report and a late entry amount of 15 minutes (the Resolution) is recorded in the employee attendance Record.

Entries may be made in the Tolerance and Resolution columns for employees coming early and late [Shift Start] and departing early and late [Shift End].
