Other Edit Functions

These include Add A Row, Delete A Row.. To invoke these functions set the mode to View [click the Display Details of Current Cell Icon] and then Single Right Click. But see also the specific instructions for individual functions.

In addition there are functions to display Employee Days & Hours (the days and hours that an employee is rostered to work in the current roster) [Press H] and Add a Domain to the Roster [Press D], Remove a Domain from a roster [Press R], Find a Shift (with particular characteristics) [Press F], Display the Cost of a Shift [Press C], Delete The Roster [Press CTRL+Del].

Add a Row / Delete a Row

Set the mode to View [Click the Display Details of Current Cell Icon], place the cursor on the row above which you require the new row (or the on row you wish to remove) and then Single Right Click. Select the Insert Row or Delete Row option.

Delete the Roster

Press Control-Del [The Control Key & The Delete Key at the same time] to delete the roster. You will be asked to enter your password to complete the process.

This Deletes the whole roster. Please note that the Reload From Database Icon will NOT restore the roster after the Delete Function.

After the Roster has been deleted from the screen you will have three choices:

Generate:This button will re-generate the roster from the Master Roster.
Create:This allows you to enter a roster manually.
Cancel:This leaves you with a blank screen.

Employee Days & Hours

Press H key to display the days and hours for the employee on the currently selected cell.

To display the days and hours for the employee currently highlighted in the browse window Press Alt-H.

Add a Domain

This function allows you to allocate all or part of a roster to a Domain. Follow the steps below.

Press D Note that the Domain must have been created previously at Setup ‣ Domains ‣ Domain.

  • Select the left hand Cell of the Row from which the Domain will start. Place the cursor on the Cell and Left Click once.
  • Press the letter :kbd`D` on your keyboard. A Window with a list of the Domains that have not yet been incorporated into the roster will be displayed.
  • Select the required Domain with the mouse and Click the OK button.

The current Row and all Rows below it until either the next Domain or the end of the roster will be included in the Domain.

Where these rows were previously part of an existing Domain, which is nearer to the start of the roster than this Domain, they will be removed from that Domain and added to the new Domain.

Remove a Domain

Where a Domain is no longer required you may remove it. Press R when a list of currently used Domains will be displayed. Select the Domain that is to be removed from the Roster and click the OK button.

Any Shifts included in that Domain will be joined to the Domain above.

Find a Shift

You may search for a Shift by Employee, Location or Classification OR any combination of these.

Press F when a box with the fields for the search characteristics will be displayed. F9 Browse will operate for these if required.

Select the required search characteristics for example an employee, select the direction of the search (Down or Up) and click the OK button.

The focus will move to the first cell it finds with the required characteristics. If no such cell is found an appropriate message will be displayed.

Note

On the Master Roster this search function can not locate an employee that is on a Shift in a Normal Cycle.

Display the Cost of a Shift

Press C. The pay items generated by the costing process for the selected Shift will be displayed.

The display will show for each Pay Item:

  • The Day Type that was used.
  • The source of the Pay Item [Day Type, Shift, Employee].
  • The Time of the Shift.
  • The Group Item from which the Pay Item was derived.
  • The Pay Item.
  • Leave Flag - is Yes where the employee was on some sort of Leave.
Show Paid Only:The initial display will show only those Pay Items that have been generated for the Shift. All Pay Items that were possibilities for inclusion will be displayed where this box is un-ticked. A brief explanation of the reason for the Item’s exclusion is provided where the Pay Item was discarded by the costing process.
